This role is located in Nappanee, Indiana; Pay Range: $18 - $23.00 / hr.

What You'll Do:

As the Shipping Administrator, you will handle the day-to-day administration for the Shipping area to ensure accurate, complete and on-time registrations, deliveries, and invoicing to meet customer and business goals.

Your Accountabilities in the Role:

  • Reviews and ensures trailer information binders for each trailer are complete and scanned into the system for future referencing.
  • Records information about each trailer in the system; creates/prints a certificate of origin for each completed trailer to prepare for shipping.
  • Coordinates license plates, registrations, VIN stickers and Certificate of Origins (or MSO's) with verified affidavits as needed in an accurate and timely basis.
  • Reviews vendor invoices and creates ATC freight invoices to ensure accurate and timely invoicing to the customer.
  • Sets up new dealers into the financial vendor system and requests/ensures ongoing financial approvals for trailers before they leave the facilities to ensure prompt payment.
  • Reviews, handles, and processes storage fees for dealers on trailers that have not been shipped to maximize the ROI on held trailers.
  • Coordinates the Employee Rental Trailer program to ensure accurate processing and logistics for each trailer.
  • Handles the petty cash for the department to ensure accurate recording and processing, with a balanced cash system.

Position Requirements:

  • Education: High School Diploma/ GED equivalency or equivalent course & work experience.
  • Experience: 1+ Years of dispatch or similar administrative experience preferred; willing to train the right person with similar admin skills.
  • Certifications: NA
  • Functional Skills: Strong planning, organizing, and prioritizing; excellent attention to detail and reviewing large amounts of data. Ability to multi-task from project to project easily. Solid math skills, critical thinking, and problem-solving skills are also required.
  • Technology Skills: Advanced PC and data entry skills required.
  • Communication Skills: Advanced verbal and written communication skills required.
  • Leadership/ Behaviors: Customer-focused and quality-focused mindset, with high work ethic and sense of urgency; high level of integrity; able to work independently and collaborate well with others.

Other Important Information:

Pay/Salary: Pay is commensurate with proven expertise.

And, the compensation will grow as the team member grows!

Reports To: Shipping Manager

Core Hours: 7:00 am 3:30 pm (some flexibility on the core hours)

Typical Work Week: M-F; rarely works on the weekends but may requires an occasional Saturday based on workloads; typically, 40-45 hours a week on average
